About the Template Feature

The template function is a feature that allows you to set required custom fields for manual covers and steps. Editors can call up the most appropriate template for the purpose and type of manual they want to create.

Template Management

Enabling/Disabling Template Function

The template function can be turned ON/OFF on a folder-by-folder basis.
When turned ON, it applies to the specified folder and all its subfolders.

Types of Templates

You can create templates in the following three patterns:

  • Custom fields for the cover only
  • Custom fields for steps only
  • Custom fields for both cover and steps

Limits

Template Creation Limit

  • Up to 50 templates
    *Archived templates are not included in this count

Custom Field Setting Limit per Template

  • Cover: Up to 10 fields
  • Steps: Up to 5 fields

Important Notes

The following operations are not supported. Please check thoroughly before publishing templates.

  • Editing custom fields when a template is already published
  • Reverting a template that has already been applied to a manual back to draft status

User Permissions

  • Editor level and above

*Templates cannot be used in folders where the template function is turned OFF.
*All templates published in the group can be used.

Custom Field Input Rules

  • You can enter up to 100 full-width characters (200 half-width characters) per custom field.
  • Input for custom fields is mandatory. You cannot publish with blank fields.

About Template Creation and Management

1 Can I delete or archive templates? Yes.
Templates in draft status can be deleted, and published templates can be archived.
2 Can I save templates as drafts when creating them? Yes.
You can save drafts. Since auto-saving is not supported, please save manually.
3 Can I edit custom fields after a template is published? No.
Custom fields can only be edited in draft status.
If the template hasn't been applied to any manuals yet, you can revert a published template to draft status for editing.
4 In what order are created templates displayed? Templates are displayed in order from oldest to newest creation date.
5 Is it possible to automatically apply a template when creating a manual? No.
Templates must be selected manually when creating or editing a manual.
6 Is it possible to restrict template publication by user or team? No.
In folders where the template function is turned ON, all editors in that folder can use the templates. You cannot restrict them to specific users or teams.
7 I cannot revert a published template to draft status. Why? Once a template has been applied to a manual, it cannot be reverted to draft status.

・Custom fields can only be viewed when connected to the network.
・Custom fields cannot be viewed when viewing bookmarked manuals in an offline environment.

・Editing custom fields is not supported.

4 What happens when I move a manual created with a template to a folder where the template function is OFF? Regardless of the destination folder's settings, the applied template and the content entered in the custom fields will be maintained.

6 Can I use templates when generating manuals with AI? No.
Templates cannot be applied during AI draft generation.
Please apply templates to the generated draft and manually enter information in the custom fields.
7 Can I add covers or steps with templates to another manual using the clipboard function? You can register items to the clipboard and create steps from the clipboard, but template custom fields will not be reflected.
The clipboard operations only apply to step titles, descriptions, and images.
