Please note that groups subscribed to the LGWAN (Local Government Wide Area Network) plan used within Japan cannot be configured as either a sharing group or a recipient group, and therefore cannot use this feature.

Terminology and Specification Overview

Folder Sharing Group

  • A group that can share manuals within its own group with another group on a folder-by-folder basis
  • Can create cross-group sharing sets
  • Can invite recipient groups to a cross-group sharing set to perform folder sharing

Folder Recipient Group

  • A group that, by receiving a share, gains access to view manuals within the sharing group's folders
  • Can join a cross-group sharing set upon receiving an invitation from the sharing group

Cross-group Sharing Set

  • A collection consisting of one sharing group and one or more recipient groups
  • Folder sharing by the sharing group only becomes possible once a cross-group sharing set has been created
  • Once a group joins one cross-group sharing set, it cannot join a different cross-group sharing set

Folder Administrator of the Recipient Group

  • Automatically set to the folder administrator of the sharing group. This cannot be changed to another user
  • This role exists in the recipient group as a permission, but cannot interfere with the recipient group due to the following specifications:
    • Cannot log in to the recipient group
    • Cannot change folder settings in the recipient group (such as adding viewers or changing the folder sub-administrator)

Folder Sub-administrator of the Recipient Group

  • Permission to add viewers to shared folders, and to add, change, or remove folder sub-administrators
  • Immediately after receiving an invitation, the group administrator of the recipient group is designated

Sharing is made possible when the sharing group creates a cross-group sharing set and invites the recipient group.
