Examples of Useful Instructions You Can Use with the AI Editing Assistant

2025-06-23 10:55:42 UTC 2026-10-31 15:27:04 UTC

The AI Editing Assistant behaves in various ways depending on the instructions given.
Here are some useful Chat instruction examples you can try. We hope you find them helpful.

Reviewing a Manual

Requesting a Review

When identifying areas for improvement before you start editing, or when checking a nearly complete Manual, try giving instructions like the following.

・Review the content of the Manual
・Rate the current Manual out of 100

If you have a specific Viewer in mind, it is also effective to provide a premise such as "As a Manual for new employee staff."
Additionally, you can add instructions like "Let me know if there are any unclear sections" or "Consider areas for improvement" to make the improvement process smoother.

Organizing the Overall Structure and Information of the Manual

Reordering and Merging Steps

You can instruct the assistant to merge Steps or change their order.

・Convert STEP 5 to a bullet list
・Merge STEP 3 and 4
・Move STEP 2 to the beginning

Adjusting Titles and Descriptions

You can make Step descriptions more detailed or, conversely, simpler.
You can give instructions to a specific Step or to all Steps at once.

・Write the description in more detail
・Rewrite the Step Titles so they can be understood just by reading them, and delete the description text

Preparing for Images

When you don't have enough images, you can have the assistant suggest what kind of images to prepare.

For Steps that have no images, suggest what kind of images are needed and add the suggestions at the end of the description text

Adding headings like [Preparation] or [Cleanup] to Step Titles

When Steps in a Manual are divided into several stages (e.g., covering everything from tool preparation to cleaning to cleanup), try giving instructions like the following. The AI Editing Assistant will come up with headings and add them to each Step Title.

According to the stage of work, add a heading in [] at the beginning of each Step Title

If you want to specify the types of headings to add, append something like "Limit the heading types to three: Preparation, Cleaning, and Cleanup" to the instruction above.

Polishing Wording and Expressions

Adding Furigana

You can add furigana to difficult kanji characters and other hard-to-read text. You can add furigana to all text or to specific words.

Add furigana to 酸辣湯麺

Batch Replace Text Throughout the Manual

If a name used in the Manual text—such as a department name—has changed, you can instruct the assistant as follows to replace it all in one go.

Replace 製造部 with 製造本部

Creating Multilingual Manuals

Translating into Another Language

By giving the following instruction in the Chat, you can translate the entire Manual into English. By replacing the language part, you can translate into any language you choose.

Translate the Manual into English

* Depending on the language, translation may not be possible. Also, translation results may not be accurate. Please be sure to review the output.

Displaying Two Languages Side by Side

By giving the following instruction, you can create a Manual that displays both Japanese and Thai side by side.

In addition to the Japanese description, add Thai alongside it

* If displaying two languages side by side exceeds the character limit, please make appropriate adjustments such as splitting Steps.

Standardizing the Translation of Technical and Internal Terms

For technical terms or company-specific proper nouns that are prone to unintended interpretation differences in translation, you can ensure consistent usage throughout the Manual by providing specific instructions.

Please translate the Japanese into English. In doing so, make sure to use the specified terms.

"現場" → "On-site"
"検討する" → "Review" ("Consider" is prohibited)

Specifying the Text Format in Detail

You can reliably instruct the assistant to maintain the style and structure of the original text even when translating into each language.

When translating into English, follow the restrictions below

・In principle, using "you" as the subject is prohibited
 - Please use expressions appropriate for a technical document that are easy for native English speakers to understand
- Changing the structure of Steps is prohibited

- When translating description text into English, add a line break after each "."
- Changing the subject is prohibited
- Changing expressions in present tense, past tense, or progressive form is prohibited
- Changing the degree of certainty in probability expressions (probably, maybe…) is prohibited
- Swapping passive expressions and honorific expressions is prohibited
- Replace full-width symbols in the original text with half-width equivalents, such as "※" with "* " and "→" with " > "
 - However, numbers such as ① may be kept as-is
